Life with Us:

 

The Admin Manager RMH role is based at the Royal Melbourne Hospital. This role is within a team of 8 - 10 people which provides administrative support for several mental health programs across the Inner West Area Mental Health Service (IWAMHS), part of NorthWestern Mental Health. The team is integral to the effective functioning of IWAMHS and to the provision of high quality care to clients and staff.

 

This position will commence in an exciting time for the service as there is a major project underway to implement an Electronic Medical Record (EMR) in 2020. This will present a significant change in the day to day functions of the administration team. The Admin Manager RMH will be required to adapt existing processes to the new working environment and ensure the continued effective performance of the team.

The role is required to coordinate and manage physical and human resources to ensure services are provided to teams in timely and efficient manner. As well as the coordination of the team and allocation of tasks, a large part of the role will be to contribute to the hands-on administration work required to be completed by the team, including:

  • Managing patient records in paper or electronic format.
  • Data entry across multiple systems including appointment booking of outpatient clinics.
  • Reception support and fulfilling ad-hoc requests from clinical staff.
  • Develop a practical knowledge of the administrative requirements of the Mental Health Act 2014.
  • Actively participate in professional development.
  • Assist the Health Information Manager as directed.
  • Effective administration of key service performance indicators is met.

Your Contribution:


Essentials:

  • Demonstrated leadership skills including the ability to lead and manage an administration team.
  • Proven ability to build and maintain effective and collaborative relationships with a variety of stakeholders.
  • Well-developed oral and written communication skills.
  • Excellent interpersonal and communication skills.
  • Well-developed organizational and time management skills.
  • Competency in MS Office software programs.
  • Experience and proven ability to develop and maintain efficient office administration systems.
  • Experience in maintaining Medical record systems, both paper and electronic.
  • A current driving license.

Desirable:

  • Relevant tertiary qualifications and/or significant experience in a similar role.
  • Working knowledge of CMI, iPM, Epic or similar patient information systems.
  • Working knowledge of the Victorian Mental Health Act (2014)
  • Electronic Medical Record exposure.
  • Comply with all legal requirements pertaining to the position including responsibility for maintaining current registration as required by your professional organisation or other applicable Acts.
